A useful managed IT proposal explains what will be managed, who is responsible, and how support works. The label alone does not tell you whether backups, software licenses, onsite visits, or security services are included. Use this checklist to turn a broad offer into a scope you can evaluate.
Users and accounts
Identify who creates, changes, and removes accounts when staff join or leave. List the services involved, including Microsoft 365 and any separate business applications. Establish who approves access changes and how administrative access is documented.
Devices and infrastructure
List computers, connected devices, servers, virtual machines, networking equipment, and phone systems. Identify unsupported or aging equipment and how replacement decisions will be handled. Clarify whether home-office devices are included.
Support and escalation
Record the contact method, service hours, response expectations, and the process for urgent issues. Distinguish an initial response from a resolution commitment. Ask who coordinates with internet, software, or phone vendors.
Backups and recovery
Identify the data to protect and where it resides. Ask who monitors jobs, investigates failures, manages retention, and performs restore checks. Agree on recovery priorities and how results will be reported; successful upload alone is not proof that a complete recovery has been tested.
Security responsibilities
Discuss access controls, updates, device protection, and incident escalation. Document the work included and the responsibilities retained by your business. If you have contractual or insurance requirements, disclose them before the provider proposes coverage.
Costs and changes
Separate management fees from software subscriptions, equipment, onsite travel, and project work. Define how additional users, devices, and locations change the bill. Ask how proposed changes are approved.
Ownership and handover
Confirm ownership and access for domains, subscriptions, administrative accounts, and documentation. Define how information and access are handed over if the service ends. Your business should understand who controls the systems it depends on.
